Refund Policy

Change of Mind
A full refund may be issued if a request is made before any work has commenced on the project. If you change your mind within one hour of placing your order, a full refund will be issued. Refund requests made outside of this initial window will be subject to a 15% processing fee deduction.
Unsatisfactory or Incomplete Delivery
Refunds may be considered after all revision options have been exhausted. If the completed work does not meet the documented project specifications, Polar Book Publishers offers unlimited revisions to ensure client satisfaction. If the final deliverable still falls short of agreed specifications, a partial refund may be issued based on mutual agreement between the client and Polar Book Publishers.
Delayed Delivery
Polar Book Publishers prioritizes on-time delivery for all projects. If we are unable to meet the agreed delivery deadline — verified by three documented attempts to contact our team without resolution — a refund may be processed upon confirmation of responsibility.
Refund Request Period
All refund requests must be submitted within 60 days of the project delivery date. Requests made after this period will not be considered. Clients are encouraged to keep this timeframe in mind when placing orders.
Non-Refundable Situations
Minor technical issues, such as typographical or grammatical errors, may qualify for partial refunds or future service credits based on mutual agreement. Refunds will not be issued for delays attributable to the client, including failure to provide timely feedback, approvals, or project materials.
Use Clause
If a project remains without client communication — including approvals or specifications — for a period of 45 consecutive days, the project will be considered closed. A reactivation fee will apply to resume any closed project.
Closed Project Policy
A “Closed Project” is defined as any project that has been fully delivered to the client or has remained unclaimed for 45 days following delivery. Polar Book Publishers holds no further responsibility for closed projects beyond this period.
Copyright & Personal Use
All deliverables produced by Polar Book Publishers are original works created exclusively for the commissioning client. Upon full payment, the client retains full copyright ownership over all delivered materials. Unauthorized reproduction, distribution, or misuse of content produced by Polar Book Publishers may result in civil or criminal liability. By engaging our services, you agree to indemnify and hold Polar Book Publishers harmless against any claims arising from unauthorized usage of delivered content.
No Plagiarism Policy
Polar Book Publishers strictly adheres to all applicable copyright laws and does not condone or support plagiarism or any form of fraudulent content practices. All materials produced by our team are original and created in compliance with copyright standards.
Polar Book Publishers and its affiliates accept no liability for any misuse of delivered materials by the client, including plagiarism, associated legal consequences, academic penalties, or disciplinary actions resulting from improper use of our products.
Image Usage Policy
Unless specifically created by Polar Book Publishers’ illustration team as part of an agreed service, we do not hold copyright over third-party images. Where applicable, we may provide guidance or links to recommended royalty-free image sources for client convenience. Clients are responsible for ensuring that any images used in their projects comply with applicable copyright requirements. The use of copyrighted third-party images may require additional licensing fees, which are the sole responsibility of the client.
Revision Policy
Editing Orders
Polar Book Publishers will revise edited content to correct any objective or technical errors identified within the agreed scope. Where no such errors are present, additional revisions may be provided at our discretion.
Ghostwriting Orders
Polar Book Publishers will revise sections of ghostwritten content until the client provides written approval. Once a section has been approved by the client, any further revisions to that section will be subject to our standard editing rates.
Limitation of Liability
Polar Book Publishers, along with its affiliates, employees, and partners, disclaims liability for any issues arising from the use of our website or services, including technical failures, project delays, or typographical errors. By engaging our services, you agree to hold Polar Book Publishers harmless from any claims resulting from your use of our services, including attorney fees or third-party claims arising from the use of our deliverables or any violation of these Terms and Conditions.
